Start with the fields and the hours
The number of fields and the hours you have them decide everything else. Before you pick a format or a team count, write down how many diamonds you have, which days, and the first and last game time on each day.
A slo-pitch game is usually booked in a slot of 60 to 75 minutes. One field for 10 hours with 75 minute slots is 8 games. Two fields is 16. That number is your budget for the entire weekend.

Decide how many teams you can take
Work backwards from your game slots. Most teams expect at least 3 games, and 4 is better. With pools of 4 and a single elimination bracket, 8 teams need 19 games and 16 teams need 39. Double elimination adds more.
Take fewer teams than your fields can just about hold. A rain delay or a game that goes long needs somewhere to go.
Pick a format
- Pool play, then a playoff bracket. The most common format. Every team gets a set number of games, then the standings seed a bracket.
- Round robin only. Everyone plays everyone and the standings decide the winner. Good for 4 to 6 teams.
- Bracket only. Single or double elimination from the first pitch. Fast, but some teams go home early.

Set the rules before anyone registers
Write the rules down and put them where every team can read them: innings or time limit, home run cap, roster size and the mix of men and women for co-ed, bats and balls allowed, mercy rule, and how ties in the standings are broken.

Sort out umpires
Either hire umpires for every game, or have teams umpire. A common slo-pitch arrangement is that the losing team of one game umpires the next game on that field. Whatever you choose, each team should be able to see when it owes umpire duty.
Take registrations and money
Collect team names, a captain's contact and the entry fee. Tell teams what the fee covers: field rental, balls, umpires and the prize pool. Being open about where the money goes saves questions later.

Build and publish the schedule
Give every game a field and a time, check that no team plays two games at once or sits for half a day, and publish it as one link rather than a photo of a spreadsheet. A link can be corrected; a photo in a group chat cannot.

On the day
- Arrive early, walk the diamonds and confirm the field numbers match the schedule.
- Get scores in as each game ends, so standings are always current.
- Post one announcement for anything that changes: a delay, a field swap, a rule reminder.
- Before the playoffs, check the standings and tiebreakers once, then let the bracket fill in.
- Hand out the prizes while teams are still at the park.
